How to Calculate PTO Accrual
PTO accrual projects a leave balance from starting hours, accrual per period, planned leave, caps, and carryover. The result must be checked against the actual policy and payroll calendar.
Open the PTO Accrual CalculatorWhat to prepare
A few reliable inputs make the first result easier to review.
- The starting balance on a known date
- Hours accrued per period and the number of periods
- Balance caps, carryover limits, and planned leave by period
How to Calculate PTO Accrual
- Enter the starting balance, accrual rate, period count, cap, and carryover limit
- Add planned leave to the period in which it will be deducted
- Project the balance and inspect each period rather than only the ending total
- Compare the result with the written policy and payroll statement
Worked example
Starting with 24 hours and accruing 4 hours across 6 periods gives 48 hours before leave. If 8 hours are used in period 3, the projected ending balance is 40 hours unless a cap or carryover rule changes it.
Review the result
Confirm whether leave accrues during unpaid absence, when caps apply, how partial periods work, and whether carryover is evaluated annually. Those rules vary and cannot be inferred from the numbers alone.
Practical tips
- Match the period count to the payroll schedule
- Enter planned leave in the correct period
- Use zero for no cap only when the tool instructions specify it
Common mistakes to avoid
- Mixing days and hours
- Applying carryover every pay period
- Treating a projection as the official payroll balance
